About Exam Cell

The Autonomous Examination Cell of the college is a confidential administrative unit responsible for managing the entire academic evaluation process for all courses and maintaining student academic records. The Examination Cell in CIET headed by the Controller of Examinations. The primary responsibilities of the Examination Cell include conducting all examinations, coordinating the valuation of answer scripts and declaring results in a fair, timely, systematic and transparent manner under the guidance of the Chief Superintendent of Examinations (Principal). The exam cell also coordinates with ANU regarding all matters related to examinations.

RESPONSIBILITIES & FUNCTIONS

  • Prepare and implement the overall examination schedule, including question paper setting, printing, valuation, and result declaration.
  • Issue examination notifications in accordance with the academic calendar.
  • Prepare examination timetables, invigilation duty charts, seating arrangements, and ensure the smooth conduct of examinations.
  • Mobilize faculty and staff during examinations and assign duties as per the approved duty chart.
  • Coordinate the distribution and collection of answer scripts and award lists for internal examinations.
  • Process examination application forms and issue hall tickets to eligible students.
  • Organize and supervise spot valuation for external examinations.
  • Analyze examination results and submit reports to the competent authorities for further action.
  • Process, verify, and publish examination results in a timely manner.
  • Print, verify, and issue Memoranda of Marks to students.
  • Issue Provisional Certificates and Consolidated Memoranda of Marks to eligible candidates.
  • Maintain accurate and secure records related to all examination activities.
  • Address and resolve examination-related grievances raised by students, faculty, staff, and the administration.

Examination Rules

INSTRUCTIONS TO THE STUDENTS

  • Be present in the examination hall at least 10 minutes before the commencement of the examination. Students will not be allowed into the examination hall after the commencement of the examination.
  • Students will not be allowed into the examination hall without Hall Ticket, ID Card, and Uniform.
  • Students are prohibited from:
    1. Writing their Hall Ticket Numbers (H.T. Nos.) in any part of the answer booklet.
    2. Writing their names in any part of the answer booklet.
    3. Bringing mobile phones, writing pads, smart watches, programmable calculators, or any other electronic devices.
  • Do not exchange any material such as pencils, erasers, scales, etc., with other students inside the examination hall. Improper behaviour such as frequently looking at other students, talking with other students, arguing with the invigilator or squad, etc., will lead to the cancellation of performance in that subject or all subjects of that semester.
  • Verify your details on the OMR sheet and sign only when instructed by the invigilator.
  • Students should remain in the examination hall for at least 2 hours 30 minutes from the commencement of the examination.
  • Students are prohibited from writing on or tampering with the barcodes, as this may affect their results.
  • Students are allowed to bring their own log books, code books, etc., if required, provided they do not contain any unauthorized material. If any unwanted material is found, the performance in that subject will be cancelled.
  • Students are allowed to carry their own transparent water bottle and sanitizer.
If a student is found copying in the examination hall from any paper, book, programmable calculator, or any other material relevant to the subject, the student will be booked under a Malpractice (MP) case. The grade card will reflect the grade as “MP” for that subject.

INSTRUCTIONS TO THE INVIGILATOR

30 minutes before the commencement of the examination.
  • Collect the seating plan, hall-wise attendance statement, answer booklets, and other examination stationery. Count and verify that the hall ticket numbers on the answer booklets match the seating plan and attendance statement.
  • Be present in the allotted examination hall at least 20 minutes before the commencement of the examination.
  • Ensure that all candidates are present before the commencement of the examination. No candidate should be permitted to enter after the examination has started.
  • Ensure that students carry only their Hall Ticket and ID Card into the examination hall. Students without either document should not be allowed to enter.
  • Distribute and collect the answer booklets personally. Do not ask candidates to distribute or collect answer scripts. The invigilator will be held responsible for any loss of answer booklets.
  • Ensure that every candidate signs the hall-wise attendance statement. Complete the invigilator entries at the bottom of the attendance sheet and sign it.
  • Instruct candidates not to write their Hall Ticket Number anywhere in the answer booklet except where specified.
  • Candidates and invigilators should not sign on graph sheets or drawing sheets.
  • After verifying the Hall Ticket Number and other details, sign on the main page of each answer booklet.
  • Ensure that the correct common question paper for the subject is distributed to the candidates. Question papers must be distributed personally by the invigilator.
  • If a candidate is absent, mark a cross (X) against the Hall Ticket Number in the seating plan.
  • Carrying programmable calculators, mobile phones, pagers, wallets, or other prohibited electronic devices into the examination hall is strictly prohibited.
  • Code books, data books, and other approved reference materials required for the examination must be counted before distribution and returned to the Examination Cell after the examination.
  • Drawing sheets should be folded to the size of the main answer booklet, ensuring that the Hall Ticket Number stamp is visible.
  • If a candidate strikes off all answers in the main answer booklet, instruct the candidate to write “Struck off by me” on each page.
  • Ensure that candidates strike off all blank pages in the answer booklet before leaving the examination hall.
  • Do not allow candidates to leave the examination hall during the examination unless permitted under the examination regulations.
  • Invigilators are not permitted to carry mobile phones into the examination hall. Phones should be deposited in the office or Examination Cell before duty.
  • Remain vigilant throughout the examination and carefully monitor the hall to prevent any malpractice.
  • Maintain silence in the examination hall to provide a conducive environment for the smooth conduct of the examination.
  • Ensure that staff members without examination duties are not allowed to enter the examination hall.
  • Important: The invigilator is solely responsible for the safe custody of all answer scripts during the examination. Any loss of answer scripts will be treated as the responsibility of the invigilator concerned.

    INSTRUCTIONS TO THE EXAMINERS (VALUERS)

    • Valuators should keep their appointment for valuation strictly confidential.
    • An OMR Sheet is stitched to the answer booklet and divided into three parts.
      • Part-1 (Top Portion): Contains the complete details of the examinee and will be detached before valuation.
      • Part-3 (Bottom Portion): Used for recording marks during the first valuation.
    • This is a confidential assignment, and every examiner must maintain strict confidentiality regarding the valuation process.
    • The valuator should have a minimum of 3 years of teaching experience and should have taught the subject at least once. However, teachers with two years of experience may be considered for scarce specializations.
    • A valuator shall evaluate a maximum of 80 answer scripts per day (40 scripts per session), spending at least 3 to 4 hours per session. Marks should be awarded strictly according to the approved detailed scheme of valuation.
    • Evaluate every question answered by the student up to the last page of the answer booklet and record the marks question-wise in Part-3 of the OMR Sheet.
    • Do not make any markings such as brackets, crosses (X), underlines, ticks, or comments inside the answer scripts while valuating.
    • Do not correct marks by scratching. If a correction is necessary, strike through the previous mark with a single line and write the revised mark beside it.
    • Record marks only in the respective boxes provided in Part-3 of the OMR Sheet. If a student answers two questions from the same unit, record the best marks in the corresponding box.
    • OMR bubbling should be done only with a Blue or Black Ball Point Pen.
    • Use only a Blue or Black Ball Point Pen for writing alphabets and numerical values in the OMR boxes. Every correction in the OMR must be duly attested by the valuator. Do not use correction fluid or erasers.
    • No valuator should interfere with or comment on the valuation work of another valuator.
    • Ensure that no question is awarded marks more than once if it has been answered multiple times.
    • If any answer script appears suspicious (such as a suspected malpractice case or all answers being struck off), the valuator may award zero marks and immediately report the matter to the Controller of Examinations.
    • Avoid erratic valuation, such as awarding zero where marks are deserved or leaving any answered question unevaluated.
    • Do not detach any part of the OMR Sheet. If it becomes detached accidentally, report it immediately to the Valuation Coordinator.
    • Submit all valued answer scripts along with duly signed mark sheets to the Scrutinizer / ACE – Valuation. If discrepancies such as unevaluated answers, incorrect totals, or calculation errors are identified during scrutiny, the valuator must make the required corrections with countersignature. Corrections must be attested and correction fluid must not be used.
    • Submit the completed remuneration form to the ACE – Valuation.
    • All valuators are requested to follow these instructions strictly and cooperate for smooth, fair, and accurate valuation.
    Important: Maintain complete confidentiality throughout the valuation process and ensure that all answer scripts are evaluated uniformly, accurately, and in accordance with the approved valuation scheme.
    Note: All entries and corrections made in the OMR Sheet must be clearly written, duly authenticated by the valuator, and completed using only a Blue or Black Ball Point Pen.

    INSTRUCTIONS TO SQUAD

    • The Examination Squad is appointed by the Controller of Examinations.
    • The Squad must report to the examination centre at least 30 minutes before the commencement of the examination to ensure its smooth conduct.
    • Ensure that all candidates enter the examination hall before the commencement of the examination. No candidate shall be permitted to enter after the examination has started.
    • Candidates shall be permitted to leave the examination hall only after 2 hours 30 minutes from the commencement of the examination.
    • Ensure that invigilators are appointed only from the teaching faculty.
    • Ensure that subject teachers are not assigned as invigilators in examination halls where students are writing the examination for that subject.
    • Ensure that all answer scripts are sealed immediately after the completion of the examination and sent to the Spot Valuation Centre.
    • Answer scripts should be packed Regulation-wise, and each packet must be clearly labeled.
    • Answer scripts should be packed Subject-wise in separate covers. Each cover must clearly mention:
      • Name of the Examination
      • Regulation
      • Branch
      • Subject
      • Question Paper Code
      • Number of Answer Scripts Packed
      The Squad must sign on the sealed cloth bundle.
    • Any malpractice cases identified during the examination shall be processed immediately after the examination in the presence of the Squad, strictly following the Academic Regulations.
    Important: The Examination Squad is responsible for ensuring fair conduct of examinations, strict adherence to examination regulations, proper handling of answer scripts, and immediate reporting and processing of malpractice cases.
